Search troubleshooting

No property result found? Follow this order

A missing result usually means the search is too specific, the ownership changed, the address is formatted differently or the record belongs in a different system.

Owner search returned nothing Use only the surname. Try the previous owner, trust, estate, company or an alternate spelling.
Address search returned nothing Keep the house number and main street word but remove the suffix, direction, punctuation and unit.
Parcel number failed Check every digit, remove accidental spaces and make sure zero was not entered as the letter O.
The property recently sold Search the seller’s name and check the Recorder’s index for the new deed before reporting an ownership error.
The parcel is newly created Search the parent parcel or nearby landowner. Tax Map records can update before every online system.
The house is new construction Confirm whether Tax Map or the city assigned the new address and whether the parcel still appears as vacant land.
The result existed but disappeared The parcel may have been split, combined, renumbered or transferred.
It is a manufactured home Use the separate Manufactured Homes Search instead of assuming the real-estate portal is incomplete.

Micro steps for online or phone payment

Open the parcel Tax tab Confirm the permanent parcel number, address, current half and amount due.
Check mortgage escrow Ask the lender whether payment is scheduled or already completed before paying twice.

Bill not received or payment missing

Tax bill never arrived Search the parcel, verify the mailing address and call the Treasurer before the deadline.

Pre-Pay Programme for monthly budgeting

Portage County’s no-service-charge Pre-Pay Programme divides each half-year bill into five monthly payments. The first cycle begins in October for February taxes, and the second begins in March for July taxes. Participants must be current and cannot have other outstanding Treasurer charges.

Fence and building warning: Do not place a fence, driveway, building, septic component or utility from an online parcel line. Use recorded documents and survey records, and consult a qualified surveyor when the exact boundary matters.

When to use the Portage County Tax Map office

Tax Map is part of the County Engineer’s office. It maintains current parcel maps, archives and survey records and helps with legal-description and new-address questions.

New-build address requests

Tax Map assigns addresses for new builds in Portage County townships and all villages except Mogadore. The cities of Aurora, Kent, Ravenna and Streetsboro and the Village of Mogadore handle their own new-address requests.

Survey records and current map timing

Tax Map’s survey library includes modern P-series surveys and older township survey references. The office warns that the working tax maps change as deeds and plats arrive, and newly created parcels can have a delay before appearing in the Auditor GIS.

Local research tip: A note such as a P-number or township survey reference on a tax map can lead to an underlying survey. Not every older survey is fully indexed or available online, so call before assuming the digital folder is complete.

Find deeds, mortgages, liens and easements

Use the Recorder when you need the recorded legal document rather than the Auditor’s parcel summary. The Recorder maintains deeds, mortgages, easements, land titles, federal tax liens, rights-of-way, leases and other recorded land documents.

Copy the parcel-record clues Save the current owner, previous owner, transfer date, parcel number and deed or instrument reference.
Open the Recorder search Search by the grantor or grantee name and use a date range when several same-name records appear.

Challenge an incorrect Portage County property value

A Board of Revision complaint is for contesting the property’s valuation. It is not a general complaint about tax rates, voted levies or a payment penalty.

Manufactured-home searches may use a different tool

The Auditor portal links to a separate Manufactured Homes Search. A manufactured home may not appear in the ordinary Real Estate Search unless it has been converted and taxed as real property.

Home appears in Real Estate Search Review the parcel and determine whether the manufactured home is taxed as real property.
