Columbiana County Auditor Property Search & Tax Records

Columbiana County, Ohio · Owner, parcel, value, tax, sale and deed help

Find a Parcel, Tax Bill, Sale or Deed

Search Columbiana County property records by owner name, street address or parcel number, then use the result to review ownership, land and building facts, market value, assessed value, transfers, sales and tax information.

This guide explains the exact search formats accepted by the county, what to do when more than 100 results appear, how to interpret the property record, and when to move from the Auditor to the Treasurer, Recorder, Board of Revision or deed-transfer offices.

Verify the parcel, not only the name. Match the property address and parcel number before relying on ownership, value, tax or sale information. The county states that its online data is provided as a research tool without warranties regarding completeness, reliability or suitability.

Quick answer: where should you start?

Start with the official Columbiana County Auditor real-estate website. Choose Owner Search, Address Search or Parcel Number Search based on the information you already have. Open the matching parcel, verify the address and parcel ID, and then use the Treasurer for payment, the Recorder for deeds and mortgages, and the Board of Revision forms when the dispute concerns value.

1 Choose one search type Owner, address or parcel.
2 Enter less information Start broad, then narrow.
3 Verify the parcel Match ID plus address.
4 Use the correct office Auditor, Treasurer or Recorder.

Official format: Last Name First Name, or last name only.

Address Search

Use when you know the house number and street.

Leave out N, S, E, W and suffixes such as St, Dr or Ave.

Parcel Number Search

Use the parcel ID from a tax bill, deed or prior property report.

Dashes and dots are optional; partial entries are accepted.

Sales Search

Use date, price, year built, square footage, acreage, use code or neighbourhood filters.

Quick Search

Use for a flexible lookup and save parcels through Portfolio after registering.

Use for a rough comparison only. It is not the final Treasurer balance.

Screenshot search tip: Do not fill every visible field. One incorrect suffix, first name, date or use code can remove a valid parcel from the results.

Exact official search formats

Search by owner, address or parcel number

Owner-name search
  1. Enter the last name only.
  2. Run the search.
  3. Add the first name when too many records appear.
  4. Try a trust, estate, company or former-owner name when relevant.
  5. Open each plausible record and compare its parcel address.
Official format: SMITH JOHN
Property-address search
  1. Enter the house number.
  2. Enter the main street name.
  3. Remove N, S, E or W.
  4. Remove St, Dr, Ave, Rd or another suffix.
  5. Use the house-number range fields only when searching several addresses.
Example: 105 MARKET
Parcel-number search
  1. Copy the parcel number from a bill, deed or old report.

  4. Use a partial entry when one section is unclear.
  5. Verify the resulting address before continuing.
02-00001.000 or 0200001000

Open and save the correct property

Run one broad search Avoid combining several uncertain fields during the first attempt.
Review all plausible results Compare owner, address, city or township wording and parcel number.
Open the parcel detail Do not rely only on the short results row.
Check two identifiers Match the address and parcel ID, or the parcel ID and building details.
Review values, land, buildings and sales These fields help determine whether the record matches the actual property.
Save the parcel number Use it for tax-payment, deed, map, form and office questions.

Quick Search and Portfolio

Quick Search limits the result list to 100 records. Registered users can create a Portfolio to save multiple parcels for current and future sessions. Registration is intended to support parcel tracking.

Portfolio use case: Registration can be helpful for landlords, buyers, researchers, lenders or family members comparing several parcels. It is not required for an ordinary one-property search.

Use the direct official search pages after following the formatting instructions above.

Search troubleshooting

No parcel found or too many results?

Owner search returned nothing Search the last name only. Try a former owner, trust, estate, business name or alternate spelling.
Address search returned nothing Keep the house number and street word but remove directions, suffixes, punctuation and unit details.
Parcel number failed Remove dashes and dots, use a partial entry and check zero-versus-letter-O mistakes.
Quick Search reached 100 records Add a first name, house number, municipality or another reliable criterion.
Sales Search reached 100 records Narrow the date, price, square footage, acreage, year built, use code or neighbourhood.
A recent buyer is missing Search the seller and check the Recorder’s Search Index for the recorded deed.
The property was split or combined Search the parent parcel, previous parcel number or surrounding property records.
The location is near a county boundary Confirm whether the parcel is actually in Mahoning, Carroll, Jefferson or Stark County.

Building and land facts worth checking

Possible record errors
  • Incorrect living area
  • Wrong year built
  • Demolished structure still listed
  • Missing or incorrect outbuilding
  • Wrong acreage
  • Incorrect property use
Evidence to prepare
  • Current photographs
  • Measurements or floor plans
  • Permit or demolition records
  • Survey or deed
  • Repair estimates
  • Closing documents
Do not report a suspected error without the parcel number. Giving staff the parcel ID, disputed field and supporting document usually produces a clearer answer than asking why the entire tax bill is high.

Match the parcel and amount Stop if the owner or property address is different.

Save proof Keep the confirmation, parcel number, date, amount and payment method.
Check posting The Treasurer says online payments are accepted on the submitted date but can take one to two business days to process.

Mail-payment details that prevent delays

  • Make checks, money orders and cashier’s checks payable to Columbiana County Treasurer.
  • Include the bottom half of the payment stub.
  • Do not fold, staple, tape or paper-clip the payment and stub.
  • Do not mail cash.
  • For a returned receipt, include the full bill and a stamped self-addressed envelope.
  • Write the parcel number in the check memo area.

Tax Installment Payment Plan

The optional TIP programme allows eligible taxpayers to prepay a portion of the next half-year tax bill monthly over six months. The final payment must cover the remaining half-year balance. Taxes must be fully paid by the last due date before enrolment.

TIP contact: Call 330-424-9514, extension 1404, before sending an unscheduled monthly amount.

Delinquent five-pay contract

The Treasurer requires an in-person visit to establish a new delinquent plan. The five-pay contract divides delinquency into five equal instalments over two and a half years. Current taxes must also remain paid on time.

Contract warning: Missing a delinquent-plan payment voids the contract and foreclosure proceedings continue.
Treasurer call script “I am calling about parcel [parcel number] at [property address]. I need to confirm the current balance, whether a payment has posted, the next due date, and whether TIP or a delinquent-payment contract applies to this account.”
Estimator warning

Use the tax estimator without misreading it

The Auditor’s estimator asks for a tax district or school district, market value, owner-occupied status and commercial, industrial or mineral status. It can show an estimated yearly tax and levy information.

Important limitation: The estimator currently states that calculations are based on 2023 rates and that the Homestead reduction is not included. It should not be presented as a current tax bill.

Safer estimator workflow

Search the exact parcel Find its current market value and taxing district.
Select the matching district Do not choose a nearby school district because the mailing city looks similar.
Enter market value Use the value shown for the parcel or a clearly labelled hypothetical value.
Select occupancy and property type correctly Owner-occupied and business classifications can change the estimate.
Label the result as an estimate Do not use it as a payment amount, payoff statement or appeal guarantee.
Verify the live bill Use the Treasurer for actual tax due, payment status and delinquency.
Comparable-property research

Search sales without comparing the wrong properties

Sales Search supports price, sale-date, year-built, square-footage, acreage, use-code and neighbourhood filters. Entering information in every field is not required, and results are limited to 100 records.

Build a useful sales search

Start with dates

Enter the beginning and ending sale dates in MM/DD/YEAR format or use the calendar.

Add property similarity

Use year built, square footage, acreage, use code and neighbourhood.

Narrow only when needed

Add price or another criterion when the search reaches 100 records.

Comparable-sale checklist

Similar property use
Similar neighbourhood or location
Similar square footage
Similar age and condition
Similar acreage
Recent sale date
Ordinary market transaction
No major extra parcel included
Multiple-code shortcut: The official Sales Search says desktop users can hold the CTRL key while selecting multiple use codes or styles.
A sale price alone does not prove value. Family transfers, sheriff deeds, partial interests, gifts, multi-parcel sales and distressed transactions may not represent ordinary market value.
Map and boundary help

Use parcel maps for context, not legal boundaries

Map information can help with
  • Locating the parcel
  • Identifying surrounding parcels
  • Comparing roads and access
  • Understanding parcel shape
  • Preparing a Tax Map question
A map cannot establish
  • The exact ground boundary
  • Legal ownership
  • An easement’s legal effect
  • Fence or structure compliance
  • Marketable title
Construction and fence warning: Do not use an online parcel line alone to place a fence, driveway, building, septic component or utility. Review the recorded deed, approved legal description, subdivision plat and professional survey when exact boundaries matter.

Best map-research sequence

  1. Find the parcel through the Auditor search.
  2. Copy the complete parcel number.
  3. Open the parcel’s available map or spatial view.
  4. Compare roads, neighbours and parcel shape.
  5. Use the Recorder for the deed and plat references.
  6. Contact the Tax Map Department for legal-description or deed-approval questions.
Tax Map call preparation “I need help with the legal-description or map review for parcel [parcel number]. I have the current deed, proposed deed or survey, and I need to confirm the approval step before Auditor conveyance processing.”
Recorded-document workflow

Find deeds, mortgages, liens and easements

The Auditor property record helps identify the parcel and current owner display. The Recorder maintains the recorded documents that show conveyances, mortgages, easements and other land-record instruments.

Use the Recorder Search Index

Open Search Index Use the link from the official Recorder website.
Run a simple name search Try current and previous owners, spouses, trusts, estates and business names.
Use book and page when available This can reach the correct document faster than a common name.
Open the result image Select the small magnifying-glass icon to view and print available images.
Verify document type and date Confirm that the result is the deed, mortgage, release, lien or easement you need.

Deed-transfer micro steps

Transfer, split or combine a property correctly

Columbiana County’s published transfer instructions use a three-office order: Tax Map approval first, Auditor conveyance processing second and Recorder recording last.

Prepare the deed and conveyance form Use DTE 100 for a taxable transfer or the applicable DTE 100EX exemption form.
Obtain Tax Map approval The deed must first be approved and stamped by the County Tax Map Department.
Present it to the Auditor The Auditor reviews the conveyance information and collects applicable conveyance charges.
Take the approved deed to the Recorder The Recorder records the document after the prior approvals are complete.
Save the recording information Keep the instrument number, recording date, receipt and updated parcel details.

Documents or evidence that may be requested

Current deed
New prepared deed
DTE 100 or DTE 100EX
Parcel number
Approved legal description
Supporting affidavit for certain exemptions
Court order when applicable
Purchase agreement for a low-price transfer
Below-value sale: The Auditor’s transfer FAQ says a purchase agreement may be required when the sale price is less than 50% of the Auditor’s value.

Published conveyance charges

Conveyance fee

$4 per $1,000 of sale price.

The county instructs users to round the sale price up to the nearest $100 before calculating.

Parcel fee

$0.50 per parcel.

Timing warning: The Auditor’s published transfer instructions say deed processing stops at 3:30 p.m., and delays can occur during property-tax due weeks or when forms are incomplete. Call or email ahead for a complicated transfer.

Split and combination tax rule

For a split, the current-year taxes must be paid on the parcel from which the land is being split. For a combination, any parcel number that will cease to exist must have the current-year taxes paid.

Transfer call script “I am preparing a transfer involving parcel [parcel number]. The transfer is [sale, exemption, split, combination, trust or corrective deed]. Can you confirm the Tax Map approval, DTE form, supporting documents, conveyance fee, payment method and current submission procedure?”

Electronic conveyance procedures have changed in recent years, so confirm the current Auditor and Recorder submission method before travelling or mailing documents.

Board of Revision preparation

Challenge an incorrect property value

A Board of Revision complaint concerns the parcel’s value or assessment. It is not a request to remove a voted levy, cancel a valid bill or grant relief solely because payment is difficult.

Review the property record first

Square footage
Year built and condition
Basement and finished area
Garages and outbuildings
Land acreage
Property use code
Recent valid sale
Comparable properties

Prepare a complete complaint

Find the exact parcel Copy the parcel number, current value and property characteristics.
Download the current DTE 1 Use the form linked from the official Auditor forms page.
State the requested value Explain the factual basis rather than writing only that taxes are too high.
Attach evidence Use an appraisal, valid sale, comparable sales, photographs, estimates or proof of incorrect property facts.
Complete every required signature or notary field Follow the current form and Board rules exactly.
File by March 31 Confirm delivery and retain a full copy of the submission.

Evidence that directly addresses value

Strong value evidence
  • Recent arm’s-length purchase
  • Independent appraisal
  • Comparable sales
  • Structural or condition evidence
  • Incorrect building measurements
  • Documented property damage
Weak evidence by itself
  • Tax bill is unaffordable
  • Neighbour pays less without comparison
  • Online home-value estimate alone
  • Unadjusted asking prices
  • Old sale from a different market
  • Different property type
Continue handling the tax bill. Filing a value complaint does not automatically stop collection, penalties or payment responsibilities.
Board of Revision call script “I am reviewing parcel [parcel number]. The record shows a value of [current value], and I believe [specific factual issue] supports a value of [requested value]. Can you confirm the current DTE 1, Board rules, filing method and March 31 deadline?”

How to check the correct programme

Search the parcel Verify ownership, use code and property address.
Identify the programme Do not use Homestead, owner occupancy and CAUV as interchangeable terms.
Open the current county form Use the Auditor links page rather than an old saved PDF from another county.
Read the eligibility instructions Check age, disability, residence, agricultural-use, income, renewal and evidence rules.
Prepare the parcel number and documents Missing parcel information or signatures can delay processing.
Confirm receipt and future renewal duties Ask whether the programme requires annual renewal or reporting of a change.

Could the property be in a neighbouring Ohio county?

Columbiana County borders Mahoning County to the north and Jefferson, Carroll and Stark Counties along parts of its southern and western sides. A mailing city or ZIP code can make a property appear to be in the wrong county.

What the online property search cannot prove

Use online records for
  • Finding a parcel
  • Reviewing owner display
  • Checking value and building facts
  • Researching sales
  • Locating tax and deed resources
Get additional verification for
  • Legal ownership
  • Marketable title

Ten practical answers

Columbiana County property-search FAQs

How do I search Columbiana County property records by owner name?

Open the official Owner Search and enter the last name first. You may enter Last Name followed by First Name, but beginning with the last name alone usually produces a broader and more useful result list.

How should I enter a Columbiana County property address?

Enter the house number and main street name. The official instructions say to omit street directions such as N, S, E or W and suffixes such as St, Dr or Ave.

Can I search using a partial Columbiana County parcel number?

Yes. The official parcel-number search accepts numbers with or without dashes and dots, and partial parcel-number entries are allowed.

Why does the Quick Search stop at 100 results?

The Auditor limits Quick Search and Sales Search results to 100 records. Add another criterion such as a first name, house number, sale date, use code, acreage or square-footage range to narrow the results.

Are the Tax Estimator results my final property-tax bill?

No. The Auditor’s estimator currently states that it uses 2023 rates and does not include the Homestead reduction. Use it for rough comparison only and verify the actual bill through the Treasurer.

When are Columbiana County property taxes due in 2026?

The Columbiana County Treasurer lists the first-half due date as February 20, 2026 and the second-half due date as August 21, 2026.

How do I find a deed or mortgage in Columbiana County?

Use the Columbiana County Recorder’s Search Index. Search by a person’s name or by book and page, open the matching result and select the magnifying-glass icon to view or print the available image.

How do I challenge a Columbiana County property value?

Review the parcel facts, collect evidence and file the current DTE 1 complaint through the Columbiana County Board of Revision process. The Treasurer states that property-value complaints must be filed by March 31.

Which office handles property-tax payments in Columbiana County?

The Treasurer handles bills, payments, payment posting, prepayment and delinquent-payment arrangements. The Auditor handles property values, parcel data, Homestead, owner occupancy, CAUV and Board of Revision forms.

Are online parcel boundaries legal property lines?

No. Online parcel and map information is useful for general location and research but should not replace a recorded deed, approved legal description, subdivision plat or professional boundary survey.

Facts verified July 26, 2026: Search formats, the 100-record limit, Portfolio, tax-estimator limitations, office contacts, 2026 tax dates, payment fees, TIP, delinquent contracts, Recorder search instructions, copy costs, recording hours, transfer order, conveyance fees and forms were checked against official Columbiana County sources.
